Event Coordinator - 4 Month Temporary Position

Summary

The primary role of the Event Coordinator is to execute multiple segments of the Specialty Coffee Expo. The day-to-day activities include reviewing and updating orders, communicating with SCA staff regarding onsite needs, ordering of services, ensuring orders are within budget and conducting post event invoice reviews.

Essential Functions

Support Show Manager with event logistics and serve as primary contact in the following areas:

  • Food & Beverage

  • Audio Visual

  • Interpretation Services

  • Room Sets

  • After Party

Desired Skills, Education, and Experience:

  • Understanding of F&B best practices, terminology, and standards

  • Familiarity with audio visual best practices, terminology, and standards

  • Familiarity with event processes and tools, as well as event budgets

  • Excellent organizational skills with the ability to multi-task and manage own time, priorities, and resources to achieve goals

  • Possess a strong attention to detail

  • Commitment to work within a team to meet timelines

  • Demonstrate excellent oral and written communication skills, and a professional demeanor 

  • Minimum 2-3 years event coordination or operations experience in trade shows or similar professional meeting environments.

  • Experience in trade show coordination a plus

Position Type

This is a part-time, 25 hours/week position. The expected hours of work have some flexibility in hours allowed, but the employee must be available during the “core” work hours of 8:30 a.m. to 4:30 p.m.  Remote work is an option.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to talk or hear; and frequently required to sit; stand; walk; use hands to finger, handle or feel; and reach with hands and arms.  At times this position is very active and requires bending, kneeling, stooping, crouching, crawling, and climbing, frequently lifting and/or moving items over 50 pounds.
