Success in this role includes
Efficient coordination of coffee and events for World of Coffee and other Coffee Community Events.
Assists with development and coordination of logistics for internationally-advertised events including workshops and trade shows.
A resource well versed in coffee to advise on all SCA events details as related to coffee needs at events.
Assist with inventory management of coffee supplies for events.
Ensures accurate and timely delivery of supplies needed for event production.
Manages and creates event registration.
Meets with members, manages project budget, researches and inspects sites for suitability, negotiates with vendors, and assists in the creation of program curriculum.
Makes arrangements for parking, transportation, signage, catering, marketing, advertising, necessary permits, security, A/V, and registration.
Communicate with and field questions from attendees regarding curriculum at events and other event questions.
Liaise with committees to ensure curriculum suggestions and coffee needs proposed by committees are feasible for production at Events and communicated to appropriate working groups
Review and update supply lists for accuracy.
Attends conferences to provide support services, including registration, resolve on-site problems in person, materials management, classroom set up and instructor oversight.
Ensures billing for services from vendors are accurate and are processed.
Duties, responsibilities and activities may change or develop and are subject to amendment at any time based on association and departmental needs.
Must be a team player; and demonstrate excellent oral and written communication skills, and a professional demeanor;
3-5 years event coordination or operations experience in innovative events, trade shows or similar professional meeting environments.
Self-managed schedule to meet deliverable deadlines
Understanding of Microsoft Office Suite (Excel, Word, Power Point and Outlook)
Experience in the coffee, beverage or industries a plus
